The DBS Update Service: Why Yours Might Be Holding You Up (And How to Fix It)
Five preventable problems that stop educators accepting placements, and what to do about each one.

As an educator, getting ready to work in nurseries, schools or early years settings should be an exciting step. But nothing halts your progress quite like compliance delays, and chief among them is the Enhanced DBS check.
The DBS Update Service was designed to make life easier by keeping your criminal record check up to date automatically. In theory, it allows recruiters and employers to run an instant online status check so you can start working right away.
However, we frequently see educators delayed or unable to accept placements because of preventable issues with their Update Service account. If you’re wondering why your DBS might be holding you up, here are the most common pitfalls and what you can do to get back on track.
1. Missed the 30-day registration window
This is the single most common reason educators get stuck.
- The rule: you must join the DBS Update Service within 30 days of the issue date on your DBS certificate. If you join using your application form reference number instead, DBS must receive your application within 28 days of you joining.
- The problem: if you miss this deadline by even one day, you cannot add that certificate. There is no way to add an older certificate retrospectively.
- The result: you will have to apply and pay for an entirely new Enhanced DBS check from scratch, which can take weeks to process.
2. Lapsed annual subscriptions
The Update Service subscription costs £15 a year and must be renewed annually.
- The problem: if your payment card expires, changes or doesn’t have sufficient funds, automatic renewal fails. If the subscription isn’t renewed before its expiry date, DBS cancels it.
- The result: a cancelled subscription cannot be reactivated. You will need a completely new DBS check before you can register again.
Pro tip: log in to your DBS Update Service account every few months to check your card details, and make sure automatic renewal is turned on.
3. Wrong workforce level or check type
Not all DBS certificates are created equal. To work in nurseries and early years settings through Kalendit, your DBS must meet specific criteria:
- Must be Child Workforce: if your existing DBS check was issued for an Adult Workforce role (for example, care home work), an early years employer cannot legally rely on it.
- Must be an Enhanced check: Standard or Basic checks are not sufficient for unsupervised access to children in early years environments.
- Barred list check required: the certificate must cover the Children’s Barred List.
If your current DBS doesn’t match the workforce and level of check required for education settings, a setting cannot rely on it, and you will need a new check.
4. Unreported changes to your personal details
If the name on your DBS certificate doesn’t match your official ID (for example, after marriage, divorce or a legal name change), status checks become a problem.
- The problem: the DBS Update Service is linked to your identity details. If your current surname differs from the one printed on the certificate, employers cannot perform a valid check against your current ID.
- The fix: if you’ve changed your name, apply for a new DBS check under your new legal name and register the new certificate with the Update Service.
5. A status change (new information added)
When an employer runs a status check, they see whether the certificate remains current.
If new information has been added to your record since the certificate was issued, the check will show that the certificate is no longer current. When this happens, an employer cannot rely on the old certificate and will need you to make a fresh Enhanced DBS application so they can see the up-to-date details.
Quick checklist: is your DBS ready for Kalendit?
To make sure you can be placed in early years settings without delay, confirm the following:
- Is your certificate an Enhanced check for the Child Workforce, including the Children’s Barred List?
- Is your subscription to the DBS Update Service active, with automatic renewal on?
- Does the name on your DBS match your current government-issued ID?
- Do you have your original paper certificate safely stored? An employer must have seen your original certificate in person before they can rely on an online status check.
