Nurseries

First, you will need to Sign Up using the correct service for you: Nurseries. Once this is done, you will be able to Sign into your Kalendit account by entering your credentials here.
The same can be done from your Kalendit app for Nurseries. Please make sure you download the correct app on your phone and that you have enabled notifications. We have three applications: one for Nurseries

Don’t panic! You can easily create a new one by clicking on Forgot Password. You can also do it from your Kalendit app for Nurseries.

Go into your Kalendit profile, click on ‘Add a New Request’, fill all the required fields and click ‘Save’.
You will need to select the days, hours you need to cover, add an unpaid break if the request is for more than 5 hours, select whether you need a qualified or unqualified educator.
A Booking is of 4 hours minimum and 60 days maximum.
If you’ve used Kalendit before, you will be able to send your requests to specific educators who have worked in your nursery before, or to all your Favourite educators.
You can also ask specific queries in the box at the bottom of the page, such as “Please bring your ID and DBS, shoes and a change of clothes.”

A Nursery can only edit a booking during its “creation phase”, that is before the matching is performed.
To modify a booking that has been accepted by an educator, you will need to delete it and start again.
Alternatively, you can ask a Kalendit team member to edit the booking on your behalf at ops@kalendit.com

Go into your active bookings and click on the bin button next to the booking you wish to cancel.
Please note that bookings can only be cancelled up to 24 hours before they start, however know that if the booking is cancelled 24 hours before the start, nurseries need to pay the educator 4 hours of work. Remember that repetitive cancellations might deter educators from accepting your bookings in the future.

Single bookings can be for 60 days maximum. If you need staff for longer periods you will need to make several bookings.
If you wish to make a long-term booking with only selected days, let’s say every Monday and Friday for four weeks, you will need to exclude the unwanted days - Tuesday, Wednesday and Thursday in that case - from your long-term booking.
Any long-term booking of at least 20 days will be priced at a discounted fee.
Before confirming your block-booking, you will have a chance to review it in detail to edit or cancel single days.

Any booking made 13 hours or less before its start time will be considered a Last Minute request and be priced automatically at a higher rate in order to incentivise workers. Since the goal is to find an educator ASAP, the request will reach all educators instantly and will bypass your favourites.

Each time a new educator visits your nursery, you will have the option to ‘star’ this educator so that they become one of your favourites. Favourite educators will receive your requests 2 hours ahead of others so that they have more chances to accept. If they are not available, the request will then reach other educators with similar profiles. You can easily remove staff from your favourites by simply un-starring them. Being able to rebook your favourites every time they are available means they will become like an extended part of your team. It will also help to reduce contagion risk by having less people visiting your nursery. It will also offer training opportunities as these staff will get very familiar with your children and your ways of working. This can also pave the way for potential permanent hires.

It is an automated way to make sure that your shift will get covered in a timely manner by signalling early on in the matching process that you can accept a lower qualification or an unqualified educator to cover this shift, instead of doing this at the last minute with the risk of leaving the request uncovered.
While creating your request, you will be asked to Opt In or Opt Out for Coverage Optimisation. If you Opt In, this means that if your request for a qualified educator is still not covered when the shift is approaching, the system will automatically look for an unqualified educator. If you only want the qualification you first selected, then you will need to Opt Out.

When making a multiple-day booking, you will be asked “Do you want the same educator for this booking? Yes/No. Based on your answers, the system will match you with the first person available to cover the entirety of your booking. If no single educator is available for the entirety of the request, it will be split among several educators.
This feature is an effective way to cut contagion risk by having less people visiting your nursery.

Your booking will be marked as 100% covered in your booking section. You will also receive a confirmation email and push notification on your app every time a booking is accepted or deleted, both on our App and your Email.

Our system will automatically look for a replacement with an equivalent educator. You will receive an email about the cancellation and also be notified when a replacement has been found.

You will receive a push notification on your phone asking you to confirm or edit the hours of every single shift post-completion. If you are not in a position to do this instantly, you will be able to do it from the Review section on our website. Please note that timesheets need to be reviewed and confirmed every week by Monday at 11 am. Afterwards, invoices will be issued and no more changes will be possible.

You will receive a push notification on your phone asking you to rate educators for every single shift post-completion. If you are not in a position to do this instantly, you will receive a link displaying all the educators who have worked in your nursery recently, allowing you to rate them and whenever possible, to write constructive feedback. We strongly believe that feedback is a great way to keep educators engaged and motivated, as well as helping them to progress.
Parents

Parents can register for free, downloading the “Kalendit for parents” app (IOS/Android).

After the registration, you will be taken to the “Favourites” section, where you will be able to browse nanny profiles and create a wish-list of preferred nannies. Your request will be sent to those preferred nannies first, and if none of them is available, the request will be sent to nannies with similar profiles.

Go to “View requests”, then open your request and use the bin button to remove a single day or an entire block booking. Kalendit will automatically inform the nanny of the cancellation. You can cancel each shift up until 24h before its start.

All the Kalendit nannies have Enhanced DBS checks, in line with Early Years and Primary Education standards.

After the end of every shift, you will receive a text message allowing you to amend the hours if necessary. Please note you will have 3 hours to amend or confirm the shift’s duration.

Any specific skills including languages will be displayed in the nannies’ profiles. Go to the “Favourites” section to browse nanny profiles.

You can create a single day request to trial the nanny, before creating a long term booking. Please specify on the request’s information box that you are looking for someone long term.

All Kalendit nannies have proven childcare-related experience. Most of them are Qualified Nursery Educators and/or Primary School Teachers and also nanny/babysit on a regular basis..

During sign-up, you will be asked to add your card details. Payments will be automatically taken from your card at the end of each shift. Please note that off-platform payments are a breach of our T&C.

You can get in touch with the nanny using the phone number provided in her profile.

Our smart algorithm will automatically look for replacement with a nanny with a similar profile. If in doubt, don’t hesitate to contact us at ops@kalendit.com

To delete your account, follow these steps:
Log in to your account using your login credentials.
Go to Profile and click on Delete Account
Follow the step-by-step procedure and confirm
Following confirmation, your data will be deleted within 30 days.
Please note that this action is irreversible and that you won’t be able to recover your account nor associated data afterwards. Please make sure to save any important information before deleting your account. If you encounter any difficulties or have questions, feel free to contact our customer support.
Educators

In order to work in nurseries and/or families, you will need to create an Educator profile and download the app Kalendit for Educators. You will need to provide us with your legal name as in your passport/ID, your exact address, your contact details and then fill accurately all the required fields and upload all the necessary documents such as a valid ID, your qualifications if you have any, your DBS check if you hold one etc. Your DBS needs to be on the update service. Also, we need you to provide references covering two years of employment, and pass with 100% success our safeguarding quiz. If you are not sure about your availability because your schedule tends to change, just tick all the days so that you will receive all the jobs available and have more options. You will be required to provide your bank details so that nurseries and parents can pay you. You will also need to register yourself as self-employed and upload your HMRC register. Please make sure you upload a professional profile picture that shows your face clearly as this is the first thing parents and nursery will see, as well as your biography, which needs to be clear, informative and concise.

As part of the registration process you will be asked to verify your email address in order to activate your account. Once this is done and after you have completed all the sections, you will require to proof your right to work and wait for a team member to accept it (i.e british passport, or share code), finally you need to complete all the remaining sections (quiz, meeting onboarding call) your profile will be reviewed by Kalendit and a member of our team will contact you for an interview.

The Early Years Education sector is strictly regulated in order to protect children, who are vulnerable people. For this reason, nurseries require that every staff hold an enhanced DBS check, that is a detailed list of a person's criminal record such as cautions, reprimands, warnings, spent and unspent convictions. A candidate cannot by law apply for his own enhanced DBS check and needs to do it through their employer or via an agency. There are a number of umbrella companies delivering such services. Kalendit has teamed up with one of them in order to offer its users a competitive fee and a fast service. You can apply for a DBS check via Kalendit. Once you receive your DBS it is mandatory to add your DBS on the update service, within 28 days from its issue date; the annual DBS update subscription costs £13.

Absolutely. Nurseries regularly need both qualified and unqualified staff to cover their staff-per-children ratios. Having a qualification will however help you get more work and bid for higher paid jobs. But working hard, being proactive and professional is also a good way to get noticed by nursery managers and become a favourite staff on the Kalendit platform, whether you have qualifications or not.
Unqualified childcares can also work as a nanny or babysitter in families. For these types of jobs, experience and other skills such as cooking, bathing and putting the children to bed as the ability to care and entertain a child on a one-to-one basis tend to be more important than qualifications.

You need to hold an enhanced DBS certificate, have at least two good references from recent employers or supervisors, ideally in childcare. A passion for childcare and some experience caring for young children aged 0-5 is a must. An ability to work as part of a team and good communication skills are also key.

Make sure you wear comfortable plain black or dark clothes, flat shoes and socks. Long nails are best avoided for hygiene and safety reasons. Also, sleepers and flip flops are a common hazard.

Always bring your ID and DBS certificates (original documents only). You can bring a packed lunch, snacks and water but will only be able to access them during your break. Please note you won’t have access to your phone during your work hours. Please make sure you wash your hands on arrival and frequently throughout the day to help reduce contagion risk. Always, arrive 10 to 15 min earlier, and do not bring anything with nuts.

Most nurseries open around 8am and close around 6pm. The day starts by welcoming the children in the nursery, undressing them and taking them to the breakfast area. The day is then broken down into learning activities (music, storytime, messy play, art etc), free play, outdoor play, meals and snacks. After lunch, children aged 0-3 have a nap. Your role will be to support the nursery’s team. This means helping setting up activities, tidying, supporting meals and feeding children, caring for them and ensuring they are safe at all times. You will be expected to engage with the children in a respectful and stimulating way, as well as being proactive in helping the permanent team.

You will need to contact the nursery directly to let them know as soon as possible. You will also need to tell us the hours you worked following late attendance so that we can amend timesheets and produce the correct invoices, all of this must be communicated to ops@kalendit.com. Know that if you are 15 minutes late or more your account will be suspended for 5 working days.

You can cancel your shift without any consequence up to 24 hours before the start of a shift. Later Cancellations or “Last Minute Cancellations” as we call them are not permitted unless in case of emergency. This is because you have been hired by the nursery as a cover staff and the nursery now relies on you to cover their staff-per-children ratios. Nurseries are regulated organisations. Every day, they need to cover strict staff-per-children ratios in order to operate. Having their ratios uncovered can result in fines or even closure if the nursery is inspected by Ofsted, the sector regulator.
If you have an emergency and need to cancel a shift, here is the procedure: Cancel your shift directly on the app so that our system resumes the matching to find a replacement. Inform Kalendit at ops@kalendit.com by all means. You won’t be charged any cancellation fee for non attendance, if the cancellation was more than 24 hours in advance, but if you cancel, acknowledging the nursery might cancel your future shifts, if you cancel less than 24 hours before the start of the shift you will now need to provide verifiable evidence that you didn’t attend your shift due to an unforeseen emergency.
Otherwise you will need to pay a £50 re-admission fee. Please send the receipt of the readmission fee payment to ops@kalendit.com. Your account will be reactivated 10 working days after payment has been received.
Please note that your account will be suspended if you cancel more than once within 30 days. If you feel you have a very good reason and would like to ask Kalendit to re-activate your account, you will need to provide supportive evidence such as a positive covid test, a note from your GP or any relevant witness.

You will need to amend your working hours on your app and the end of each shift in the review section. Please note that failure to inform Kalendit on time means the hours won’t be changed.

All Kalendit users are able to cancel their bookings up to 24 hours before the start of the shift. If a nursery cancels your shift you will be notified by email and push notification on your app. Cancellations always need to be treated as a last resort and are best avoided as they tend to be disruptive and frustrating.

Yes, a nursery can send you home earlier if they have less children than expected. They will pay for the hours you have worked with a minimum of 4 hours.

The pay is what you want it to be! One of Kalendit’s main goals is to empower child carers by allowing them to accept the shifts they want at their own convenience.
You will be able to set a minimum hourly rate, within reason and reflecting sector trends. This will help our system to send you in priority the bookings that match your desired hourly rate. But to make sure you don’t miss out, you will also be able to see all the job opportunities including those priced at a lower rate if they have not been accepted by anyone close to the start time. These will be labelled “Additional Opportunity” and you will be able to accept them or ignore them at your own convenience.
Trends on the platform: Nurseries tend to offer around £10 per hour for unqualified educators and £11-12 for qualified educators. Last Minute requests made on the same day or the night before are usually priced at £13 per hour or above.

Payments are made every two weeks on Tuesday by the end of the day, regarding the previous 2 weeks of work. Kalendit will send you a summary of your hours as well as invoices for your tax return. Please note that payments are automated so any change in working hours needs to be notified to Kalendit ASAP for the changes to be made on time.

All the jobs available are displayed on the Kalendit app, clearly showing the name of the Nursery or Family, their address with a link to the map, a contact detail and the pay. The shifts vary, from 4h to a full day. We have dozens of jobs coming up everyday. In addition, our nursery clients are constantly looking to hire qualified staff. On the parent side, we have a good mix of ad-hoc sits and recurrent part-time jobs.

Kalendit Educators are required to be self-employed as per our T&C. This is because we believe this is the best model to empower workers. Kalendit wants to disrupt existing work models and help workers earn more, work locally and be in control. Being self-employed not only means being your own boss. As a self-employed, you will need to register with HMRC to get a UTR number and do your own tax return. This means you will be able to claim all your work-related expenses: travel, petrol, work uniform, lunch, drinks and also childcare equipment, DBS check, First Aid certificate and even the cost of your accountant if you have one. The best way to get more work on the Kalendit platform is to ensure that your Kalendit profile is up to date with all the key information about your availability, hourly rate and qualifications. Make sure you write a concise but informative biography saying how long you have been working as a childcarer, what makes you an outstanding childcarer and why nurseries and parents should book you. Please also make sure that your profile picture is professional and shows your face clearly.

Most nurseries are constantly looking to hire qualified staff, and at times unqualified staff. A good way to be recruited is to start covering ad-hoc shifts in nurseries and work hard to be noticed. Working as a supply nursery staff will also allow you to visit different nurseries, meet their team and children and see which could be a good fit for you. Kalendit will help you in this process so please let us know in advance if your goal is to find a permanent job.

This is a perfectly fine and natural thing to happen. Nurseries can use Kalendit to spot talents and recruit them. Both parties are however required to disclose these talks and any potential employment by a nursery client to Kalendit as per our T&C. Please let us know when a nursery approaches you for employment so that we can follow the process and help you. Please note that failure to disclose a permanent employment by a Kalendit nursery client will result in a breach of our T&C and could result in legal action.

Nurseries and Parents have the option to star the educators they like the most and add them to their Favourites. Favourite educators will receive requests from the nursery or the parent who has starred them 2 hours ahead of other educators. This helps nurseries and families to regularly rebook their preferred educators and create a long-term relationship with them. The goal is to allow favourite educators to become an extended part of the nursery’s permanent team and get better at their job. This also offers nurseries opportunities to train their favourite educators and invest in them. This could also pave the way for permanent employment or help educators to raise their profile and build a network of referees

We offer £20-40 (depending on the locations) for every educator you introduce as soon as they become active on the platform, that is, after they have completed their first shift in a nursery or a family via Kalendit. If the person you refer to holds a Level 3 Early Years Education qualification or a QTS, you will get £40, in case of an unqualified work you get £20
